New to WHMCS, How to get imported users onto automated billing?

Hi, I decided to give WHMCS a try as I did a hosting audit and realized I have clients I haven't billed for hosting in several years!

 

Here is where I am at so far...

I added my server, setup my products, and imported my clients.

 

So now lets say I have a client, he owes me back hosting. How to I tell the system when his hosting started so it knows how to invoice him?

 

Or say I have a client who owes me his yearly hosting fee in two months, how to I get this information into the system?

 

When on the client page > products services tab > under "Next Due Date" it says N/A.

If its a few clients then its just a case of entering data manually and creating invoices manually.

 

If its more than a few then maybe some MySql magic is required either at the console or using PhPMyAdmin.

 

Essentially to keep it all tidy you should set the next dues dates for each clients service.

This then allows WHMCS to deal with it properly when the dates come round. You set the number of days that invoices are created in advance so if you set it to a long period (say 28 days) then that should take care of all upcoming accounts for the next month while you work away at the other ones.

 

As for getting back payment for services you have not billed then it really is a case of creating a manual invoice for the period up to the next anniversary. You do this by going to each client and using the 'Create Invoice' facility.

 

If there are a lot, then again, you could create the invoices in bulk using MySql, but I would caution against it as WHMCS does all sorts of things under the hood that you may not be aware of.

As this seems to be your error and not your clients and to land them with a back invoice for years of hosting could just make them run

 

Look, we're web developers, not a hosting company. All of the accounts we are hosting ponied up between $3-10k for us to develop their website. I dont want to sell hosting, and the only people who will be buying hosting from us will be our clients. I just want an automated solution for our hosting so we dont have to manually create invoices. If this "makes them run" I dont really give a ****************. They are more than free to move to whaver host they want. I just want my server bill covered every month without me having to do a bunch of work.

 

So are you guys seriously telling em there is no way to get my old clients into automated billing? If so I will just have my host delete this pile of ****************. If I have to send invoices manually this doesnt help me at all, this is what I have been doing and it's not working at all.

If you don't have a large number of clients you can set this up manually by following the instructions in the link below:

After you have everything setup properly, they will be billed automatically going forward. Just make sure you set the next due date of the service properly. Also make sure you haven't set the billing cycle as Free or One Time, that is the only case when you would see a next due date of N/A.

If you're selling one-time products then the Next Due Date will be N/A. An invoice will be generated when the cron next runs, or if you click "Generate Due Invoices" on the client's summary tab.
