How are partial payments handled?

Question

I couldn't find anything on partial payments in the documentation. If I send a client an invoice, can that client pay an invoice partially? If so, what happens to that invoice? If I re-send the invoice later to collect the rest of the payment, will it show the new balance to the client both on sent invoice and account?

I just applied a $1500 payment to an invoice with a $52 remaining balance, which generated a big offsetting credit, which is making my client question the entire statement.

 

Could I have applied that to "the account", then gradually doled it out to the invoices, in a way that's not as messy or alarming?

Yes, put in the transaction (receipt) with no invoice number, then click "manage credits" and apply the amount as a credit, you/they can then "spend" it to pay the invoices as necessary

I am working with Kadeo on this issue. I have even suggested that they may want/need to hack the Transaction process to *discourage* the application of large payments to a single invoice, and to steer the user toward the action that Othellotech suggests?

Any thoughts on that?

Thanks to othellotech, boo to WHMCS. I added the Transaction, with no invoice number as suggested. I didn't put in a Transaction ID either, for good measure. The transaction did NOT credit to the account.

 

It appears to be necessary to go to the account's Profile tab, where Manage Credits is located, and then enter the credit AGAIN. As othellotech says, it can then be doled out to the open invoices.

 

Hopefully, this is being improved in the 4.1 release, because it seems very poorly done at present. There seem to be a lot of possible improvements...once you enter the amount and the client, you could get a list of open invoices and checkboxes. I had to click into each invoice, click credit, type in the balance, save, then go back to the Profile, and click invoices, and repeat. If there's an easier way, I'd love to know.

I really dislike the way partial payments are handled. I would expect something more from such a superior system.

 

I don't want to use the credit system for partial payments. I don't want to make the client have to click the Adds Funds link so that an invoice is generated for them. And I surely don't want to apply credits to the original invoice, I want to add transactions. My gripe is that the Invoice Amount gets reduced when credit is applied, so if my original invoice is $1,825 and I add a partial payment the Invoice Amount gets reduced to $1,425..
