What's the best way to refund an annual payment and convert to monthly automated payments?

Hi All,

 

I have a client who was on annual billing. Their most recent invoice was due on 12/1/13. They called yesterday and gave us the credit card info. We told them we could set it up so that it would autopay each time the invoice was generated (paypal subscription). So we logged in to whmcs as them and paid the invoice. We couldn't set up the paypal subscription because the invoice was already past due. So today they call and are upset because they thought they were going to be billed monthly! So my question is; what's the best way to refund the full amount that was due on 12/1/13, convert their payment preference to monthly, bill them for December and then set up the auto paypal subscription for going forward? I already have the API credentials setup for paypal refunds. So I'm just looking for the correct way to process this mess.

Hi,

You'd:

  • Process the refund via the "Refunds" tab on the invoice.
  • Change the Next Due Date to 2nd December 2013 under their Products/Services tab.
  • Adjust the Billing Cycle to Monthly and tick the "Auto Recalculate on Save" checkbox.
  • Click Save Changes
  • Click "Generate Due Invoices on the client's Summary tab.
