If you had to choose an accounting package to go with WHMCS...

...which one would you go with? Especially, if you planned to use Paypal?

 

We have/know Quickbooks, but I'd like to consider other options that make the process a lot more seamless. We're just getting our web hosting services off the ground, so right now isn't too late to switch.

I really like KashFlow personally, and I have used Sage products before as well as the not-so-technical Excel method of accounting.

 

You can get a WHMCS module for KashFlow but personally I found it caused a headache so I just manually have it updated. They also have a PayPal transaction importer extra you can buy - again I tried this and found it caused a headache so I just did it all manually.

 

They do a free (no card needed) 2 month trial as well which is brilliant. Wouldn't have bought in to it without that. Downside is obviously that it is a web based package, so if you don't like the idea of this kind of information stored online by a third party this is not for you.

I use Quickbooks with WHMCS.

 

Whilst the application is a bit dated in appearance, it is something of an industry standard and something most accountants are comfortable working with and I simply give my accountant a copy of my data at the year end.

 

Are you looking to record the full detail of transactions in Quickbooks? I just record my sales totals from WHMCS into Quickbooks on a weekly basis and use WHMCS reports to analyse hosting/domain sales etc.

Interesting, I presume you are manually adding in the weekly totals and all invoicing is done by WHMCS and not your accounting software?

Yes I am. The only ball ache is that you have to sync the invoices, go into Xero and mark them as authorised and then sync the transactions. This isn't a fault of the module though, it's how Xero works.

 

The other thing is that if you apply late fees to an invoice that's already been synced it throws an error as the payment amount is greater than the original invoice. You have to manually edit the invoice in Xero to get it though.

 

This is another argument for WHMCS to generate separate invoices for late fees though ;)
