Order Detail Forwarding to Assistants

Hey everyone, I run a small online business consisting of various website development services and am very interested in seeing if I could implement WHMCS into my business as it would really help organize everything. I have 2 questions/ideas which I needed to figure out.

 

I have several assistants who I have trained to complete certain orders and tasks.

Ex, Logo Design, Website Installation, Keyword Research, and various other services.

 

For all of these, the customer has to input some sort of logo description, or website login details, in a text field. I want to know if there is anyway where I can get the only the order details sent directly to my assistants. So if someone purchased a Website Installation/Creation package, the login details and other info they entered in the text field would be forwarded specifically to my assistant who does the Website Installations.

 

Also if this is possible, then for combined packages, of lets say Website Installation and Logo Design, can the order details for each part of that order be sent to the specific assistants. I do not wish to have anyone working through WHMCS but me for my business, so I just want to know if there is a way to forward it automatically.

 

If these features aren't available, is there anyway of customizing the platform to do these things.

Thanks for considering WHMCS. You can define which administrator roles receive Account Emails and therefore the admin order notification email, but that's for all products not any specific one.

I don't know much about customizing and programmming but am willing to pay someone to do it for me. I was looking through the email templates in the trial. Isn't there someway where I can have an automated email template which contains the Order Number, Package, and Custom Instructions/Details field from the invoice, and then have it sent to my respective assistant who completes that package.

 

Also, many of my services will have a file such as a report or logo which will be sent to the customer. Is there a way in which I can just have this uploaded to their profile somewhere, so they can access it after logging into the client portal.

I understand the need for your discretion with some of your employees that you trained. But this is just a suggestion as WHMCS is a powerful billing and support platform.

 

You can use WHMCS with your staff and limit their permissions throughout the entire platform. Allow them access to view the clients products and then they can write down in the clients notes specific stuff that they have done/setup for the client. This way you keep a detailed log of everything about the client in one area, instead of having multiple systems which can often times leave a cluttered mess.

 

Otherwise doing what you are asking to be done should not be too difficult to do with a little bit of customization. Depending on how many products you offer I would say a developer would do it for around $50-$200. After all it's only an action hook and a few emails being sent out.

Thank you very much, your response really opened my eyes. I have contacted WHMCS for a quote, but I also had a few questions. Could I make it so when my staff login to see the orders, they would see only the order details. So the contact info, payment info, price and all that would be blocked. This would be much easier then the multiple systems I was thinking of doing earlier.
