mgirgenti Posted January 24, 2012 Share Posted January 24, 2012 I am in need of 1 or 2 add-ons. I am a manager service provider as well as break fix IT shop. Most of my clients are hybrids, meaning they have manage Service contracts for some items, but not all items. I also have some "customized" pricing per client. Scenario 1) Default hourly rate is "rate x" for most clients. Scenario 2) Clients d,f,g all get "rate y" for billable hourly work. Scenario 3) Client A pays a monthly fee that covers ALL work on the server, firewall, and includes 4 hours on site every month for training under "Contract 123". As I get tickets in, if it involves the server or firewall, I list it as "Contract 123", and I mark the time a "no charge". The "no charge" still generates a bill and a $0 invoice. This is crucial so the client see what we they are getting for their money. Some months we use the 4 hours, some months we don't. They expire at the end of the month and do not (at the moment) roll over. If I do 7 hours of work in a month, we show all 7 on the invoice, but the first 4 are $0, and the last 3 are at "rate y" Scenario 4) Client pays for "service xyz", a flat rate every month recurring marked as "no charge". All OTHER work is billed at "rate z". Scenario 5) Client pays flat rate that covers ALL service/time. hardware is extra. We still generate an bill or ticket for each item we do and we show how many hours of work we did each month/week (however often we run invoicing) At the moment, I have WHMCS auto-generating and billing for the recurring monthly part. The problem is my ticket system/contract management is separate, so I have to do a lot of "massaging" to get everything accurate. Time consuming, and will be riddle with errors eventually. I use ConnectWise, which is one of the top 3 software for MSP's (called a PSA software). It is great, but does not do the actually billing. It generate invoices .. to QuickBooks. It is VERY steep learning curve, and gets pricey every tech you add. I would stick with it, but I only use about 30% of what it can do. I use it for contract/client management, network documentation (called configurations), and service tickets (which WHMCS can do). Ideally, all client info, service tickets, billing, invoices, project management, and client documentation would all be in WHMCS. I would export to QuickBooks only to keep my CPA from revolting. (already got that covered) Am I over-expecting from WHMCS? Security is a huge concern, and I have another thread in the Marketplace for the network docs piece. What would the above pricing module cost? Feel free to look at the Connectwise demo to get a better idea of what it can do.
