Clarification of Order Process

Hey Guys,

 

New to WHMCS, First Post.

 

I own and run a Media Design Agency that offers hosting, web design, etc. etc. I do not intend to use WHMCS as an automated order system. I want to place everything in myself. I have setup Products/Services, Settings, Made all items hidden, etc. But, I have a few things that I would like to clarify...

 

1.) What is the proper process to establish the record of a client purchasing a service from me in WHMCS. Say Web Design. I assume it is Lookup Client, Click New Order which creates invoice, then to have invoice be paid. But, what if I do a quote first? It seems that I can convert quote to invoice; but, how am I suppose to get that attached to an "order"?

 

2.) I pulled the trigger too quick, and issued a couple invoices directly for current services I did. Client paid, registered in to WHMCS. But, now I don't have an "order" for it. How can I achieve this? I cant seem to find how to integrate an invoice into a order, without have it generate one on its own.

 

3.) What would be the best method to input previous orders and so forth within WHMCS? I've been doing business for about 6 months now and have previous projects completed, all paid with PayPal. I would like to get those in the system. Also, when doing this, it would be great if those amounts would reflect in the numbers generated for reports, main screen, etc.

 

4.) Any suggestions of where I can find professional looking invoices and quotes? I am not totally impressed with the current designs.

 

Thank you for your time in reading this. I spent two hours looking through the documentation and google and would rather get a clear cut answer, if possible.
